How to participate?

As an ICW participant, you will be able to join all events, including group work and cultural events. Furthermore, accommodation and meals will be provided for you free of charge from the 4th to the 7th of June. We won’t charge any participation fee, but during the registration process, we will collect a deposit of 30 € (or 10 € if you don’t need accommodation). Please Note

  • You must be at least 18 years old and be a student at the time of the conference (June 4th – 7th).
  • Please fill out the registration form in English, as the conference language is English.
  • The deadline for registrations is the 2nd April (at 11:59 pm Central European Time).
  • Only students (including PhD students) can register for the conference; also, students from TU Ilmenau are encouraged to register!
  • Since we have to arrange and pay for accommodation and food, additional costs would arise for participants who don’t show up. That’s why we require a 30€ deposit, which you get back if you attend all the workshops or prove to us that you couldn’t attend or come to the conference due to illness.

Instructions on our registration process

Step 1
Go to registration page

Visit the ticket shop for ICW (or the widget on this website) here.

Step 2
Choose your ticket

Choose a ticket either with accommodation or without (if you are already living Ilmenau).

Step 3
Complete the registration form
  • Fill in your personal data.
  • State details about your studies.
  • State any preferences you have concerning your stay (food and accommodation).
  • Select group topics you are interested in (You can state your three top preferences, but you can actually join any group during the event)
  • Upload your immatriculation certificate for the summer semester 2026 (requirement of the BMFTR funding)
  • Upload an audio message in which you introduce yourself and explain why you are interested in the topic of Internationalisation (max. 3 mins).
    • Using Android, you can use the app “Recorder”, record your audio message and save it as a file
    • Using iOS, you can use the app “Voice Memos”, record your audio message and save it as a file (you can also AirDrop it to your computer)

  • Write a short motivation (max. 1000 symbols) about why you are interested in the topic of your first preference

Check details

Check your registration details and confirm.

Step 5
Wait for our confirmation

We will check your registration and confirm it within 1 week. You'll receive an email once your registration is confirmed.

Step 6
Pay the deposit

In the email, you'll get a link to choose how to pay the deposit. Either by bank transfer or in cash in Ilmenau. Please keep in mind that you should pay the deposit within 2 weeks. Pay the deposit using the bank details you'll get via email, or pay it in cash at the ISWI office (hours will be communicated beforehand).

Step 7
Get the ticket

Receive the ticket and enjoy the event in Ilmenau 🙂

Step 8
Get back your deposit

Once you participated in all the workshops and brought back the accommodation key, you'll get back your deposit of 30 € or 10 € on Sunday, 7th June.
